The Vendor Code of Conduct outlines the ethical, professional, and operational standards required from all vendors (“Sellers,” “Merchants”) on the RSS Merchants platform. By registering and operating as a vendor, you agree to follow these guidelines at all times.
1. Professional Conduct & Integrity
Vendors must:
- Conduct business honestly, ethically, and transparently.
- Communicate respectfully with customers and RSS Merchants staff.
- Avoid fraudulent, abusive, or misleading behavior.
- Maintain a professional tone at all times in public-facing messages or reviews.
Harassment, threats, or inappropriate behavior will not be tolerated.
2. Legal Compliance
Vendors must ensure that:
- All products comply with local, national, and international laws.
- All business operations follow relevant regulations, including taxes, consumer rights, and safety standards.
- No prohibited, counterfeit, stolen, or infringing items are listed.
Selling illegal or non-compliant products may result in immediate account termination.
3. Accurate Product Representation
Vendors are required to:
- Provide truthful and complete product descriptions.
- Use accurate product images that reflect the actual item.
- Clearly state product condition (new, used, refurbished).
- Disclose any limitations, variations, or special requirements.
Misleading or deceptive product listings are strictly prohibited.
4. Order Fulfillment & Shipping Standards
Vendors must:
- Process orders promptly and ship items within their stated handling times.
- Use reliable carriers and provide tracking information when available.
- Package products securely to prevent damage.
- Clearly communicate shipping times, delays, and delivery expectations.
Consistent failure to meet fulfillment standards may result in penalties or removal from the platform.
5. Customer Service Responsibilities
Vendors must:
- Respond to customer inquiries within a reasonable timeframe.
- Be courteous, helpful, and solution-oriented.
- Address customer complaints professionally and promptly.
- Avoid arguments, hostility, or dismissive behavior.
Unresolved customer complaints may result in intervention from RSS Merchants.
6. Refunds & Returns Compliance
Vendors agree to:
- Follow their publicly stated refund/return policy.
- Honor refund requests consistent with their policy and applicable consumer laws.
- Avoid refusing refunds without valid justification.
- Resolve return and warranty claims promptly and fairly.
Failure to comply may lead to suspension or banning of the vendor account.
7. Prohibited Behaviors
Vendors must not:
- Post false information or manipulate product reviews.
- Attempt to mislead customers or the platform.
- Engage in price gouging, bait-and-switch tactics, or deceptive marketing.
- Submit fraudulent documents or identities.
- Circumvent platform fees or direct customers off-platform to complete sales.
- Upload viruses, malicious code, or engage in hacking activities.
Such violations may result in immediate removal.
8. Data Protection & Privacy
Vendors must:
- Protect customer personal data and use it only for order fulfillment.
- Never sell, misuse, or expose customer data.
- Comply with GDPR and other relevant privacy regulations.
- Securely store and delete customer information when no longer needed.
Violations of data privacy laws may result in legal action and account termination.
9. Platform Collaboration
Vendors agree to:
- Cooperate with RSS Merchants during reviews, audits, or investigations.
- Comply with requests for order or product verification.
- Maintain updated business information (email, address, contact details).
- Resolve platform rule violations quickly and professionally.
Failure to cooperate may result in restrictions or account suspension.
10. Performance Expectations
Vendors will be evaluated based on:
- Shipping and handling time
- Order accuracy
- Customer ratings
- Refund and complaint rates
- Policy adherence
- Consistency and reliability
Vendors with repeated poor performance may face penalties or termination.
11. Violations & Consequences
Violations of this Vendor Code of Conduct may result in:
- Warnings
- Temporary account restrictions
- Product listing removal
- Suspension
- Permanent banning from the RSS Merchants platform
Severe violations—such as selling illegal goods, fraud, or endangering customers—may result in immediate account termination and legal action.
12. Updates to This Code
RSS Merchants may update this Vendor Code of Conduct at any time. Vendors will be notified of significant changes, and continued use of the platform constitutes acceptance of updates.
